In the competitive world of manufacturing and quality control, efficiency and reliability are critical.
A leading company in the industry faced challenges with their existing SharePoint-based Quality Portal, which had been plagued by performance issues due to large datasets and complex workflows. This system utilized InfoPath Forms, SharePoint Document Libraries, and SharePoint Lists to manage Return Material Authorizations (RMAs), Document Change Requests (DCRs), Non-Conformance Reports (NMRs), and Corrective Actions (CARs).
To address these issues, our team proposed a comprehensive upgrade by developing a new Workflow Portal. The new application was designed to be a web-browser-based platform that works seamlessly on PCs, tablets, and phones both inside and outside the company network. Leveraging Azure AD for authentication ensured secure access while maintaining ease of use by utilizing existing Office 365 credentials.
The migration path involved several crucial steps:
1. Preparation and Initial Export:*We collaborated with the client's IT department to ensure all necessary resources, such as VPN connections, were in place. A customized data export tool was developed to transfer existing records from SharePoint into a SQL Server database, ensuring that all historical data was preserved accurately.
2. Workflow Development: The new system was built in sprints, with individual workflows being developed, reviewed, and refined based on user feedback. This iterative process ensured that the new workflows mirrored the existing functionality but enhanced performance and ease of use.
3. Training and Go-Live: Our team conducted detailed training sessions, ensuring that end-users were comfortable with the new system. A cut-over migration was performed over a weekend to minimize disruption, ensuring that by Monday morning, the new system was fully operational.
By meticulously mapping data, developing a user-friendly interface, and involving key stakeholders throughout the process, we successfully transformed the client's workflow management system. The improvement in performance and the seamless integration ensured that their operations could continue without interruption while providing a solid foundation for future enhancements.
